Man!

You are definitely the right man for this job!

Great stuff!

I am going to keep listing things as I think of them, so…..

Volunteers!

Volunteers are a critical part of every good gaming convention, so we will need to think about assembling a good crew of helpers for this thing. No way are two or three of us going to handle all the necessary chores ourselves.

Nudge, nudge.

Assuming we end up with a weekend in May, that’s just under one away.

To do all the stuff we’re planning on, we’re going to need every bit of it.

It sounds like the scale (or just my failed perception) has grown. I was thinking this was going to be 10-20 people not 200-400. There is a lot more work in a full convention than having 2-3 games running throughout the weekend to make the 10-20 people happy.

Yes, the scale has increased.

How significantly, we're still debating.

We received a proposal this afternoon with two options: one smaller, one larger.

I feel a bit out of place discussing the proposal at this point (as I haven't had a chance to connect with Rob yet), but I know have a preference between the two.

Whichever option we choose will result in more than 10-20 people.

But less than 400.

Either way, we should be able to announce additional details (including dates!) soon.

Same here. I was thinking this would be a one-day con, maybe a two-day con at most for starters with a projection of 50 or so folks showing up. What you're planning seems considerably more massive.

Genuine question:

Does the size in attendance of the con matter?

We have received one bit of feedback on this (via PM), and I am awaiting their permission to post it publicly.

The point of this forum is to engage in a conversation, and we're open to feedback that is both positive and negative.

Some background...

While the idea of hosting an Unseen Servant con has been floating around for years, it was truly Rob's initiative that prompted us taking steps to actually make it a reality.

I do believe the initial plan was to host something small, exclusively for Unseen Servant members (and their invitees; be it family or friends).

A "closed" event.

I was the one behind the scenes that pushed for a larger, "open" event.

In my mind, it was just a matter of scope.

How much more difficult would it be to plan an event for 20-30 games instead of 2-3?
(Both hypothetical numbers.)

It turns out, the difference is a fair bit, but still manageable.

What I didn't consider was the appeal (or charm, or intrigue) of an event hosted exclusively for this member base.

I may have not properly prioritized the importance of that factor.

Maybe not?

But... let's discuss.

I am not the one putting all the hard work into organizing so I do not want to take the steam away from the great work that is obviously going on. I think that the hard working souls that are putting blood, sweat and tears into this effort opinions should matter the most.

Strictly my opinion: But since you asked, the appeal of the idea for me was a chance to meet the people from the board and play some games with them face to face, but it appears that this has become a full on Con that might have some people from the board (10-20% of less of attendance). If I just wanted to go to a Con I can find one much closer to home. So yes, the people coming and therefore the size matters.

I appreciate what is being done but being over in VT it is less than likely that I'd be able to attend this even though I really want to.

I only just stumbled across this (based on seeing the entry in dmw71's signature line).

FWIW:

That's my opinion, too. If it's a smallish con mostly consisting of Unseen Servanters (Servants?) and their families, I would be all in (contingent on the date, of course). If it's a large con that happens to have some forum people there, I don't know that I'd necessarily make the trip from DC.

My only experience with a "small con" is that a friend of my ex-wife's put on (or used to put on) a very small gaming con called "RandyCon." He basically booked a medium-sized hotel conference room (smaller than anything that could be called a "ballroom") where people would play games for a weekend. Food was whatever people brought and/or delivery. I have no idea what he did as far as logistics or whether there was any kind of pricing tie-in between the rooms and the conference space. But my recollection from the one time I went was that it required a lot less effort than what it sounds like you're planning. (If I had his contact info, I'd put you in touch; alas, he was my ex-wife's friend, so I have no idea what his contact info is. But Randy, if by some wacky happenstance you're out there and reading this, jump in!)

Same here! I love this idea, but I echo the caution of trying too much on the first go.

Could you provide a list of tasks for which you need volunteers?

IF we were to go public with this event.......

We would need volunteers to help out with:

Set up
Registration/Information Desk
GM Lounge?
Miscellany (other minor tasks I haven't thought of yet) :D
